Fix a player's name, shirt number or photo

Team admins can correct the details of players they added who haven't joined the app yet. Learn what you can change, and what stays locked.

When a PE teacher adds 200 students by phone number before sports day, some names come out wrong, like "Aarav M" or a placeholder. Parents notice these on the scorecard. If you manage a player's team and the player hasn't joined SportnNote yet, you can fix their name, shirt number, photo and a few other details. Once a player joins, their profile is theirs and only they can change it.

Who can edit a player's details

You can edit a player when all of these are true:

  • The player hasn't signed up and claimed their profile yet. Their squad row says "Invited · not registered yet", or shows no sign of an account.
  • You manage a team, club or school the player belongs to (captain, vice-captain, team admin or creator). See Who can edit a squad.
  • The player was added by the same person who created that team.
  • Nobody has reported the profile as "not me".

Step by step

  1. Open the team → 👥 Squad · + Add.
  2. Under the player's name, tap ✎ Edit details. You can also open the player's profile and tap ✎ Edit player details.
  3. The Edit player details screen opens. It reminds you that the player can change these details once they join.
  4. Change what you need. You can set the photo (tap Add photo or the current photo), Shirt no., Full name, Location (city), Date of birth (optional) and gender. You can fill in Contact number and Email only if they're empty. Lower down, you can set the sports they play, with their position in each.
  5. For a player under 18, a Parent / Guardian card asks for a guardian's name and phone or email. It's recommended, not required.
  6. Tap Save details.

You'll see "Saved". Squads, profiles and most scorecards show the new name straight away.

Squad roles

Roles such as Wicketkeeper, Batter or Goalkeeper are set on the squad, not on the player's profile. Open the squad and tap the role chips under the player. See Who can edit a squad.

What you can't change

  • A mobile number or email that's already on file. It shows as "On file" and is locked, because it's how the player claims their profile when they join. If it's wrong, contact SportnNote support.
  • Privacy settings. Whether a player's phone or email is shown, or whether they can be found by it, is only for the player to decide.
  • Verification. Admins can't mark a player as verified.
  • A player who has joined. Their squad row says "Manages their own profile", and there's no edit link. Ask them to change it from their own Edit profile.

Common questions

I saved, but the change didn't stick. Why?

The player may have joined SportnNote a moment ago and now manages their own profile. You'll see a message saying you can't edit this player any more.

Can I change a player's house?

No. Admins can't move a player to another house. Ask the school's organiser.

What if the parent wants a different photo?

Once the player (or their parent, for a young player) joins and claims the profile, they can change the photo themselves from Edit profile.

Is a date of birth needed?

No. It's optional when you edit someone else's details. If you do enter one for a player under 18, add a guardian too.
