Add teams to a tournament or let captains join

Search and add teams, create new ones, share one join link or code with captains, fix team names, and remove or withdraw teams safely.

A school meet can have 30 to 60 house and class teams. You can add them yourself, or share one link on WhatsApp so each captain enters their own team. This page covers both, plus fixing a misspelt team name and taking a team out.

Before you start

  • To add or remove teams, you must be a host of the tournament.
  • To enter your own team with a link or code, you must manage that team (captain, vice-captain, team admin or its creator). See Who can edit a squad.

Step by step: add teams yourself

  1. Open the tournament → ⚙ Manage → Participating teams.
  2. In a multi-sport meet, pick the Sport at the top. If the tournament has divisions, pick the Division too.
  3. Choose how teams come in. With Add directly, the team is in straight away. With Invite (captain accepts), the captain gets an alert and accepts from the tournament page.
  4. Type in the search box to find a team, then tap its name to select it. Tap again to unselect. Select all picks every team shown.
  5. If a team doesn't exist yet, tap + New team. Enter the Name, a Short name such as RED, a colour, and the manager's name and phone if you have them. Then tap Add & select.
  6. Tap the save button at the bottom. It shows how many teams you're saving, for example "Save 8 participants". If you're inviting, it reads Send invites & save.
  1. On Participating teams, turn on 🔗 Teams can join by link.
  2. A join code appears, such as T-ABC123. Tap 💬 WhatsApp to send the invite to a group, or Copy link to paste it anywhere.
  3. Each captain who opens the link picks their team, and it's in the tournament at once.
  4. When every team is in, turn the switch off. Anyone who opens the old link then sees "This link is turned off".

Step by step: enter your team as a captain

  1. Open the link the organiser sent. Or go to Settings → Join a team with a code and type the T- code. The same box takes squad invite codes too.
  2. On the Enter a tournament screen, check the tournament name. If you're asked, sign in. The app brings you back here.
  3. Under Your teams, tap the team you want to enter. If you haven't made it yet, tap + New team, fill in the Team name and Short, and tap Create team.
  4. If the tournament has divisions, pick yours.
  5. Tap the Enter button. It shows your team's name.

You'll see "You're in!" and the tournament's Teams tab opens.

  1. On Participating teams, find the team under In the tournament.
  2. Tap Edit under its name. You only see Edit for teams you manage.
  3. Change the Team name, the Short (2–4) name, the colour, the City / town or the logo, then tap Save.

Take a team out

There are two ways, and the difference matters:

  • Withdraw (under In the tournament) keeps the team on record but takes it out of the fixtures. Use this once a team has played. You can Reinstate it later.
  • Remove drops the team from the list completely. To remove a team you just added by mistake, tap its name to unselect it and save. You'll be asked to confirm. If the team already has fixtures, the message suggests Withdraw instead.

Removing a team from a tournament never deletes the team itself.

Requests and invites

If registration is open, or you invited teams, a card shows:

  • Requests to join: tap Accept or Decline.
  • Invited: teams still waiting for their captain. Tap Confirm to put them in yourself, or Cancel to withdraw the invite.

Common questions

Can a captain join after the deadline?

No. Once the registration deadline has passed, or the tournament has reached its maximum number of teams, the link stops letting teams in. The captain sees "Registration has closed" or "This tournament is full". A host can still add the team directly.

They're told to ask the organiser. Tap Reinstate to bring them back.

A captain says their team isn't listed under "Your teams". Why?

They don't manage that team in the app, or it's for a different sport. The team's captain or an admin must enter it, or they can make a new team on that screen.

What does Check in do?

On match day, tap Check in as each team arrives. The list shows how many are here.
